The role

Robert Half are actively seeking to recruit an Accounts Administration Assistant for our client in Waltham Abbey.

Working for an instantly recognisable company as a part of a friendly accounts team you will assist in several duties to ensure smooth operations of the accounts payable function and administration duties.

A varied administrative role that provides a wonderful opportunity to be involved a range of different activities.

Responsibilities:

Accounts


  • Invoice entry onto Sage 200


  • Saving invoices in PDF format


  • Checking supplier invoices for accuracy in terms of prices and number of products invoiced through a goods receipt matching process


  • Dealing with supplier queries over the phone and via email


  • Processing credit notes and chasing outstanding claims with suppliers


  • Communicating with stores the supplier requirements for discrepancy claim procedures


  • Collating sales reports on a weekly basis


  • Analysing petty cash claims and posting journals on to Sage


  • Collating coupons to be sent for processing


  • Ordering bank credit books for all stores


  • Stocktake reports collation on a quarterly basis


Admin


  • Liaising with suppliers to arrange works and maintenance visits (equipment services, PAT and electrical tests)


  • Point of contact for all contractors


  • Assisting with the organisation of new stores by liaising with the project manager so that all services and equipment are ready for the store opening


  • Answering telephone and transferring calls


  • Sort and distribute incoming post


  • Archive filing


  • Insurance claims administration, liaising between stores and insurance broker


  • Other duties as required from time to time by Finance Department


You will be


  • Self-starter who can work autonomously with a can-do attitude


  • Ability to meet department deadlines


  • Excellent communication skills


  • Great attention to detail


  • Comfortable using computer packages such as Microsoft Office (Excel, Word, Outlook etc.) and Sage
