A day in the life of a Verification Supervisor

The day starts at 8.30am ready to supervise the Verification team and to take responsibility for query resolution in respect to purchases and supplier invoices and ensuring that invoices and credits are appropriately matched.  Building effective relationships internally and externally with colleagues and suppliers and managing the team effectively.

Verification Supervisor – what we expect

  • Ensure correct Matching invoices and verifying invoices for all types of stock orders – normal stock, special orders and branch deliveries in a timely manner at least 1 month in advance per due date
  • Escalation for resolving all pending or/and new queries by the document due date
  • Liaising with Claims department for all stock and price discrepancies
  • Ensure appropriate authorisation and nominal ledger coding of invoices
  • Manage Verifying credit notes by due date
  • Registration and verification of advance payment documents on a timely manner
  • Liaising with Purchasing, Purchase Ledger team, Branches & Warehouse to resolve any issues as and when required
  • Ensuring cover for employee absences within the team for effective running of the department
  • Build and develop relationships with Suppliers and internal colleagues
  • Create and monitor daily Dashboard report, along with various other reports, to ensure KPI’s are being met - Assist in data analysis as required
  • Ensure all SOX controls are adhered to
  • Maintain accurate written processes for VSI team
  • Liaise with off-shore team supervisor to ensure both teams are working to the same processes and deadlines & provide support to off-shore team with query escalation and resolution
  • Hold 121’s with team, setting KPI’s in line with agreed targets
  • Escalation of issues to line manager
  • Ensure team “own” their allocation of supplier accounts
  • Work with Manager to encourage a happy and positive team culture, “Right First Time” and committed attitude

Skills needed:

  • A minimum of 5 years purchase ledger experience in a high volume environment
  • Previous experience of supervising teams;  managing workload across the team; motivating a team to achieve against targets
  • Excellent communication skills – both written and oral
  • Proven ability to supervise team
  • Ability to work to deadlines
  • Process improvement
